Hosthub’s booking actions allow you and your team to flag specific reservations that require human intervention. Actions are designed to track "offline" tasks, maintenance issues, or administrative follow-ups that need to stay tied to a specific booking.

Note on Accessibility: Booking Actions and their corresponding notifications are available to all Hosthub users (Standard and Pro plans). To view or manage these features, your user profile must have the Actions & Notes permission enabled.

When to Use Booking Actions

Booking actions are ideal for tracking tasks that are related with a booking or block, such as:

  • Maintenance: Reporting a broken appliance or scheduling a plumber.

  • Special Requests: Tracking an early check-in or a requested high-chair.

  • Administrative: Marking a booking that needs a manual price adjustment or contract signature.

How to Set an Action for a Booking

You can set an action from the Booking Details drawer/page or the Inbox header.

  • Select the Action Level: Click the Action button and choose between Response needed, Action required or Urgent action required.

  • The Required Note Prompt:: When setting an action, the system will immediately prompt you to add a note. This ensures that any team member receiving an alert knows exactly why the flag was raised (e.g., "Urgent: AC is leaking, repairman scheduled for 5 PM").

  • Notifications: Once saved, an alert is sent to all team members with access to that rental, containing a direct link to your Booking Notes.

Visual Cues

To help you stay organized, manual flags appear prominently throughout the platform:

  • Dashboard: A colored action icon appears on the right corner of the booking card.

  • Bookings Index: A colored icon appears over the channel icon (e.g., Airbnb/Booking.com logo).

  • Calendar & Multi-calendar: A colored dot is visible on the channel icon within the booking bar.

  • Booking Details & Inbox: An icon representing the action flag appears in the header. If multiple actions are active, you will see a "+X" indicator.

4. Clearing Actions

Actions must be cleared manually once the task is complete.

  • Open the booking or conversation.

  • Click the active flag and select All done.

  • This removes all actions from the booking and stops the booking from appearing in your Daily Action Report.

Configuring Your Notifications

You can choose how you want to be alerted for each action type. Go to Profile Settings > Notifications to adjust these:

  • Response needed: Email/Push notification for messages requiring a manual reply.

  • A host action is required: Email/Push notification when an action is set (e.g. operational tasks)

  • An urgent host action is required: Email/Push notification when an urgent action is set (e.g. high-priority alerts for emergencies).

Pro-Tip: Many managers set Urgent alerts to Push (for immediate mobile alerts) and Action Required to Email for review during business hours.

The Daily Action Report

Every morning at 6:00 AM (local time), you will receive a summary email. This report consolidates every booking—past or future—that currently has an active Action Required or Urgent flag. It serves as your daily operational "To-Do" list for the upcoming 7 days.

Permissions

Actions are available to all users with the following permissions:

  • View Actions: Available to all users with Actions & Notes -> View permissions.

  • Set/Clear Actions: Requires the Actions & Notes -> Apply changes permission.
