Using Hosthub's fully automated access code creation and sharing functionality is simple and easy but requires to use one of our access control partners that provide full integration with Hosthub.
Activating connection with an access control platform
To activate a connection with an integrated access control platform you need to visit Hosthub market place and select the partner that supports your devices. Currently Hosthub integrates with the TTLock platform so only devices that use this platform can be used for full end to end automation.
To activate the access control integration you need to follow the steps below:
Open the partner page and enter the credentials that you use to register your devices via the platform specific app.
Select Map access devices to go the device linking page.
In the linking page press Pull devices from ...
A list with all devices register in your platform app will be displayed. You will see the device id, device name and its current status.
For each device there is a button to select a Rental and link it with the specific device. Each device can be linked with more than one rentals and this way you can cover the need to have access devices that are used for many properties (e.g. apartment building doors).
After the linking is complete, the automatic codes generation is activated and works as described in the next section.
Automatic codes generation for new bookings
When the connection with the access control platform and the rental linking is done, Hosthub will start creating access codes for all new bookings automatically.
Access codes are generated at booking creation time. If a booking is updated (e.g. the arrival/departure dates change) then the access codes are updated accordingly.
The access codes generated for each booking provide access only to the devices that are linked with the booking rental and have a validity period starting from the check in date and time and ending to the checkout date and time. Before the guest arrival and after the guest departure, the access codes are deactivated so the guests cannot use them to access your property.
Hosthub supports two code generation methods depending on the access device connectivity capabilities:
If the access device supports Wifi connectivity and it is online at code generation time, then a Custom a 6-digit access code is generated by Hosthub and is stored in the device over the network.
If the access device does not support Wifi connectivity or it is offline at code generation time, then a Random code is generated by the platform using a specific algorithm. In that case the code does not need to be sent to the device over the network.
The generation process for Random codes is as follows:
Secure Algorithm: The access device uses a cryptographic algorithm to generate a random sequence. This algorithm is designed to be unpredictable, meaning it's nearly impossible to guess the next code based on previous ones.
Internal Generation: This process happens entirely within the secure environment of the access device itself, not transmitted through your phone or app. This ensures no one can intercept the code during generation.
The automatically generated access codes can be seen in the Access codes section of the booking page. There you will see a list of codes generated for all devices linked with the rental along with the access device name and their validity period.
If Hosthub fails to automatically generate access codes for a booking you will be notified so that you can go and fix the issue using your access devices platform app.
Automatically share the booking access code with your guests
Once a new access code has been automatically generated for a booking then this can be sent to your guest automatically using an automated message. In order to do this you need to create a new automated message template with your check in instructions and include the {allAccessCodes} variable in it. This way, when the access instructions message is sent to your guest it will include automatically the name and the string of your stored access codes.
