Cancelled bookings are now easier to track and manage within Hosthub. This article will guide you through how cancellations are handled, where to find them, and how cancellation fees are factored into your financial overview.
Understanding the Cancelled Booking Workflow
Channel cancellation event: When a channel (OTA) cancels a booking, our system receives a notification and marks the booking as "Cancelled."
Manual cancellation: Offline bookings created directly in Hosthub can also be manually cancelled by the host.
Cancellation Fee recording: If there's a cancellation fee associated with the booking, this amount will be stored within our system for your reference and calculations.
Locating Cancelled Bookings
You can find your cancelled bookings in the following locations:
The main Bookings index includes cancelled bookings.
Use the new "Status" filter to view only cancelled bookings, active bookings, or all bookings.
Cancelled bookings will be clearly marked with the "Cancelled" status and, if applicable, the cancellation fee, will be displayed.
Booking Details View:
Cancellation notifications
Every time a new cancellation is received by a channel or created manually, an email notification is sent to the host with all the related booking details.
Cancelling an offline booking
You can cancel an offline booking by opening the booking view or viewing its details tooltip in Calendar or Multi calendar.
In both cased you cancel the booking by pressing the Free dates button.
Cancellation Fees and Financial Information
You'll find the cancellation fee listed in the Price details section of the booking details view. The fee will be displayed even if it is zero (full refund cancellations).
The cancellation fee will also be included into the total booking cost calculation.
Important Note:
Cancelled bookings will not appear on your calendars.
All dates associated with cancelled bookings are treated as free dates for new bookings.
Cancelled bookings in exported files
When you export your bookings list in CSV or XLSX files, the exported file contains a column Status that can be either Active or Cancelled. This way you can have a direct overview of the cancelled bookings when you are post processing your reservation data using exported files.
