Why Bookings May Not Appear in Hosthub's Tax Tools
Issue 1: Bookings Made Before Connection
Bookings made on external channels, including Booking.com, before connecting a property to Hosthub might only sync limited details. Specifically:
- Bookings closed (made) prior to the connection date only sync general details, not the financial amounts required for invoicing.
- For example, if a property was connected to Hosthub in July and the booking was made in March, the booking will not share the full financial data necessary for invoicing tasks.
To prevent this issue for future bookings, ensure all properties are connected to Hosthub before receiving new reservations. Once the connection is established, all bookings made after will fully sync, including the financial amounts required for tax and invoicing purposes.
Connection Changes and Their Impact on Booking Visibility
If a property listing is deleted, renamed, or reconnected as a new listing, Hosthub treats the new listing instance independently. Past reservations from the original listing will not be carried over. Similarly, once a property is removed from Hosthub, it loses connections with external booking channels and AADE, making it impossible to retrieve past reservations or associated data.
Handling Calendar Display Issues for Reservations
Issue 2: Bookings Not Listed in the Expected Month
Reservations in Hosthub tax tools are displayed based on the check-out date, not the check-in date. For instance:
- A booking with a check-in date in July and a check-out date in August will appear under August reservations instead of July.
To view such bookings, navigate to the calendar or reservation list corresponding to the check-out month. In cases where users want to declare a booking manually before its checkout date, this can be done through two methods:
- By accessing the Taxation page.
- Under the booking’s Tax details tab.
Resolving Financial Data Issues in Bookings
Issue 3: Zero-Value Reservations
If a Booking.com reservation displays a zero value, it is likely because the property is not linked to the master account in Hosthub and, therefore, cannot retrieve pricing data. To correct this:
- Add the property to the relevant master account on Booking.com.
- Ensure Hosthub is connected as a cohost user.
This will allow Hosthub to pull prices and keep updates in sync with Booking.com.
If it is an offline booking, open it and manually fill in the nightly rate and any charges, then save.
Missing Tax Details on a Booking
A booking's Tax details tab (and its tax analysis) is only generated when the rental's Tax settings have been defined. If the tab or analysis is missing:
- Open the booking and check the Tax details tab. If it is not there, no analysis has been generated yet.
- Confirm the rental's tax settings are set: Setup → Rentals → (rental) → Tax settings → Edit. If they are not defined, no tax analysis is produced.
If the booking was made before the property was connected to Hosthub, the channel (e.g. Booking.com) may not have sent the reservation details yet. Once Hosthub requests an update, the details will populate, though this can take until the next business day depending on when the channel responds. Tax details on a newly imported booking may also simply need time to be pulled by the system.
Note: For bookings that predate a tax correction made on the channel, the channel will not resend the old amounts. However, the amounts in Hosthub's tax analysis are calculated from the tax settings you configured on the rental in Hosthub, not from the channel figures.
Prices Missing Only for Some User Roles (e.g. Vrbo)
If a booking's prices were visible before but now appear blank, check the user role permissions. If Bookings > Price details is set to "No access", Hosthub hides the booking value and charges (so it looks like there are no prices). Set Bookings > Price details to View or Apply changes in the role's permissions. If you use the Calendar, also check Rate management access, since prices can be hidden there when it is set to "No access".
Issue 4: Property Deletion or Reconnection Impacts
If a property is deleted or renamed and then reconnected as a new listing, Hosthub will treat it as a completely new connection. Consequently, reservations linked to the old listing will not be available in the new setup. Removing a property also disconnects it from external channels and AADE, which means past reservation data cannot be retrieved.
Automated Invoicing for Canceled Bookings
Hosthub’s automated invoicing tool also issues invoices for canceled bookings, provided there is a financial amount to be invoiced. Examples include:
- Non-refundable booking amounts.
- Cancellation fees.
This feature ensures that your financial records remain complete even when bookings are canceled.
