How to Manage AMA Numbers and Integrate with AADE in Hosthub

Managing property registration numbers (AMAs) and integrating with AADE through Hosthub is essential for ensuring compliance with MyData submission requirements. This guide provides an overview of the process, including linking AADE credentials, updating AMA numbers, and understanding the relationship between Hosthub and Oxygen.

Overview of MyData Submission and AMA Management

Hosthub allows you to manage your property registration numbers (AMAs) through its integration with AADE. This integration ensures that your accommodations are correctly linked to their respective AMAs for accurate MyData submissions. However, it is important to note that Hosthub does not directly manage AMA updates within Oxygen, as Oxygen operates independently of Hosthub.

Linking AADE Credentials and Accommodations

To connect your AADE account and link accommodations to the correct AMA in Hosthub, follow these steps:

  • From the left menu, go to Integrations, select Taxation & Accounting, then AADE.
  • Select the option to “Add new credentials.”
  • Enter the owner’s TAXISnet login details, then press Submit.
  • Choose “Match accommodations with entries.”
  • Under the new AADE credentials, select “Fetch entries” (Pull properties from AADE).
  • The list of AMAs registered in your AADE account will appear. Link each accommodation to its corresponding AMA and press Connect.

Important notes:

  • The username must be the TAXISnet username used to log in to the AADE account where the property's AMA is registered. The username is never an email address.
  • Enter the username and password manually. Do not use browser autofill, as it enters incorrect values.
  • You must connect using the company/owner account, not a representative account.
  • The property must be set to a Greek location (Greek postal code / Greece as the country); otherwise the taxation tools will not be available.
  • If more than one accommodation is linked to a credential, connect them one at a time (select accommodation → Connect); bulk selection is not possible.
  • After linking the AMAs, you must also complete the Tax settings for each rental (Setup → Rentals → select the rental → Tax settings → Edit). Do not leave any field empty — for example, if you are not liable for VAT, select "No" and set the accommodation tax rate to zero. This is required for the AADE submission form to appear in each booking's Taxes tab and for amounts to be calculated correctly.

Note on submission type: When you add AADE credentials, the default setting sends declarations as temporary (provisional), which you must finalize manually through the AADE registry by the 20th of each month. To send them as final directly, go to the AADE partnership page > Settings next to your credentials, select final, and save.

Updating AMA Numbers in Hosthub

If the AMA for a property changes, you can update it in Hosthub through the AADE integration. Here’s how:

  • Open the AADE integration settings in your Hosthub account.
  • Disconnect the accommodation from the old AMA.
  • Reconnect it using the new AMA.

Alternatively, you can:

  • Go to Integrations > AADE in Hosthub.
  • Click “Update list from AADE.”
  • Disconnect the old AMA and connect the new AMA to the correct listing.
