How to Move a Booking Across Rentals in Hosthub
How to Move a Booking Across Rentals in Hosthub
Hosthub allows property managers and hosts to reallocate, move, or reassign existing bookings from one rental or unit to another directly within the dashboard. This feature provides flexibility to optimize portfolio occupancy, resolve scheduling gaps, handle maintenance issues, or accommodate guest room upgrades.
Important Considerations Before Moving a Booking
Step-by-Step Guide: How to Move a Booking
- Open the Booking Details:
- Navigate to Bookings in your Hosthub dashboard.
- Click on the booking you wish to reallocate to open the booking details drawer or the full booking details page.
- Go to "Other actions":
- Click on the Other actions tab inside the booking details view.
- Select the New Rental and Unit:
- Open the Rental dropdown menu and select the target property.
- If the target property is a multi-unit rental, a secondary dropdown will appear—select the specific unit for the booking.
- Set Overlapping Booking Preference:
- If the selected target rental unit already has a booking for those dates, select the Allow overlapping booking checkbox.
- When checked, the system will proceed with creating the booking assignment even if it overlaps with an existing reservation on the target unit.
- Review Implications & Confirm:
- Click Save.
- If the reservation originated from an OTA, Hosthub will present a confirmation modal detailing all operational and channel impacts.
- Check the mandatory confirmation checkbox ("I confirm I have read and understood the implications of changing the Rental").
- Click Confirm to complete the reallocation.

Operational & System Impacts After Moving a Booking
1. Channel Calendars & Availability
- Booking.com Reservations: Availability increases by 1 on the original Booking.com listing, and the new listing's calendar becomes blocked across all channels.
- Airbnb & Other OTA Reservations: The original channel listing calendar remains blocked on its original channel, while the new listing's calendar becomes blocked across all channels.
- Direct, Offline, or Motopress Reservations: The original rental's calendar is immediately freed, and the new rental's calendar is blocked across all channels.
2. OTA Updates, Cancellations, & Extensions
- Updates & Cancellations: If the guest updates or cancels the booking directly on the OTA, the changes automatically sync to Hosthub while maintaining the newly assigned rental.
- Extensions: If the booking is extended on the OTA, the extension applies to the new rental in Hosthub, even if availability does not exist for those dates.
3. Automated Guest Messaging
- Hosthub automatically adjusts message automation queues.
- Unique automations for the original rental are paused, and automations specific to the new rental are scheduled.
- If both rentals share identical automation templates, the original messaging queue is updated and resumed for the new property.
4. Smart Lock Access Codes
- If the original and new rentals use different connected smart lock devices, access codes for the original rental are revoked, and new access codes are automatically generated for the new rental.
5. Tax Submissions (Greek Tax / AADE / ERP)
- If automatic Greek tax submission is enabled for either the original or new rental, automatic submission for the moved booking is disabled.
- Hosts must manually submit tax entries following instructions from their accountant.
6. Financial Reporting
- Hosthub's internal financial reporting routes the revenue of the reallocated booking to the new rental, while raw ledger logs retain the original channel metadata.
