Why Aren’t My Calendars Syncing in Hosthub, and How Can I Fix It?
Calendar syncing is a critical feature in Hosthub, enabling seamless management of bookings and availability across multiple channels. If your calendars are not syncing, several common issues and solutions can help resolve the problem.
Common Causes and Solutions
1. Inactive Hosthub Account
If your Hosthub account is inactive, calendar synchronization will stop. To resolve this:
- Reactivate your Hosthub account.
- Once reactivated, your channels will reconnect, and synchronization will resume.
2. Pending or Inactive Channels
A pending or inactive channel, such as Booking.com, can cause a "not syncing" banner to appear. To fix this:
- Remove or disable the inactive/pending channel in Hosthub.
- Refresh your Hosthub screen to verify that the banner is gone and syncing is restored.
3. Incorrect Login Credentials
If connected channels (e.g., Houfy, Vrbo, Expedia) are frozen due to incorrect credentials, synchronization will fail. To resolve this:
- Open your channel connections in Hosthub.
- Edit each affected channel and update the login credentials (username/password or API keys).
- Save the changes to restore synchronization.
4. Misconfigured Login URLs
A misconfigured login URL on your website can cause systemic errors, preventing Hosthub from syncing. To fix this:
- Ensure your website uses the default login URL without extra parameters (e.g., "?manage").
- Update the URL and verify that calendars and prices sync correctly.
5. Incomplete Channel Setup or Unlinked Listings
A "1 of your calendars is not syncing" banner often appears simply because a channel's setup has not been fully completed. Common reasons include:
- The channel setup is not finished (for example, the listing still needs to be linked to a rental in Hosthub, or the Booking.com terms still need to be accepted).
- Hosthub rates and availability settings have not been configured yet, so syncing cannot proceed.
- The channel's connection details are outdated (common with Vrbo).
To resolve this:
- Go to Setup → Channels → Not Syncing, then reconnect and re-sync the channel.
- For Vrbo, update the username/password there and save.
- Make sure the listing is linked to the correct rental (Listings tab → Link with a rental → Link & Sync Now).
If you have a channel you do not want to connect, simply leave it unlinked (do not click "Link & Sync Now"). The banner will keep showing until the channel is either linked and synced, or removed from your list of channels.
6. Reauthorizing an Airbnb Connection
If Airbnb is not syncing, log in to your Airbnb account in the same browser you use for Hosthub, then go to Setup → Channels → Not Syncing → View → Authorize to complete the authorization process. Make sure you are using the correct Airbnb password.
Note: iCal Sync Is No Longer Supported
iCal connections are no longer supported. Channels must now be connected exclusively via API. If your channels are still on iCal, they will need to be switched to a direct API connection for accurate, real-time syncing.
To resolve this:
- You cannot change the Pricing Model yourself from the Expedia platform. Contact Expedia Support (through Expedia Partner Central) and ask them to change your Pricing Model to "Occupancy Based". A short phone call usually suffices.
- Expedia will either apply the change on the spot or confirm it by email a few hours later (typically within 24 hours).
- Once Expedia confirms the change is done, notify Hosthub so we can complete the connection and rates sync.
- If you had deleted the rate plan Hosthub was connected to and created new ones with the wrong type, the same Pricing Model change is required before we can link them.
- Only one rate category (e.g. Standard) is synced per property. Any additional rate categories must be managed within Expedia. Keep any unused rate plans (including "Length of Stay / Day of Arrival" pricing plans) set to Inactive, as active plans with an unsupported pricing model will cause errors. Note that Expedia does not allow deleting a rate plan, only activating or deactivating it.
After the Pricing Model is changed: Notify Hosthub to complete the sync. Rates and availability may take some time to fully synchronize; the connection prevents double bookings once established, so unlinking and relinking listings is not necessary.

Channel-Specific Troubleshooting
Airbnb Calendar Syncing
If your Airbnb calendar isn’t syncing after adding the channel in Hosthub, follow these steps:
Rates Synchronization
- Update your rates and settings in Hosthub. Once published, Hosthub will overwrite rates/settings on synced channels.
- Verify imported Airbnb settings (e.g., discounts, cleaning fee, security deposit) and adjust them in Hosthub if needed.
- Use Hosthub’s Rate Management to set weekday/weekend rates, extra guest fees, cleaning fees, and more. Seasonal pricing can be configured using Exceptions.
- Preview and publish rates to push updates to Airbnb and other API channels.
Calendar and Availability Synchronization
- Hosthub automatically imports active Airbnb bookings with check-in dates from today onward.
- Manual blocks on Airbnb calendars are not imported. Add offline blocks directly in Hosthub to ensure synchronization across all channels.
Vrbo Calendar Syncing
If a new Vrbo booking isn't appearing on your Hosthub calendar:
- Sync delay is normal: Vrbo bookings sync via iCal, which updates every 20–30 minutes. If a reservation was made shortly after the last download, it can take a few minutes to appear. Refreshing repeatedly won't speed this up—just wait for the next sync cycle.
- Check the Hosthub system phone number: The most common reason Vrbo bookings stop syncing entirely is that the Hosthub system phone number was removed from your Vrbo account. Re-add that system phone number in Vrbo (it's invisible to guests and separate from your personal number), then check your Hosthub calendar again.
- Re-save your credentials: Go to Setup → Channels → Not Syncing, open Vrbo, and re-save your credentials even if they look correct.
- Manual blocks are not pulled: If dates appear blocked on Vrbo but not on Hosthub, this is usually a manual block placed directly on the channel. Hosthub does not pull manual blocks from Vrbo—these must be added in Hosthub.
Once a Vrbo listing is synced, you can update the following through Hosthub's Rate Management: weekly price, weekend price, minimum length of stay (max length of stay is not applicable for Vrbo), weekly discount, and monthly discount. Base capacity (extra guest fee), cleaning fee, and pet fee settings are NOT sent to Vrbo and must be updated directly on Vrbo (Calendar > Settings > Fees). The security deposit is set under the "Damage protection" tab.
Advanced Features
Hosthub offers advanced features to enhance calendar management:
- Rate Adjustments: Hosthub can adjust prices sent to each channel to account for service fees, ensuring consistent net payouts. This can be disabled in Setup > Channels by setting the Channel Fee to 0.
- Messaging Integration: Airbnb messages sync to the Hosthub Inbox, allowing you to reply directly from Hosthub.
- Rental Settings: Configure advance notice, preparation time, and availability windows in Setup > Rentals.
