How to Block Dates and Manage Offline Bookings in Hosthub

Managing date availability and offline bookings in Hosthub is essential to ensure synchronization across all connected channels. This guide provides a comprehensive overview of how to block dates, manage offline bookings, and maintain accurate availability.

Overview of Date Blocking in Hosthub

Hosthub does not pull manual blocks from channel calendars. To ensure proper synchronization, all date blocks and offline bookings must be added directly in the Hosthub calendar. Once added, Hosthub will automatically update all connected channels, ensuring consistent availability.

Steps to Block Dates for Offline Bookings or Non-Synced Channels

To block dates for offline bookings, renovations, or other reasons:

  • Navigate to CALENDARS > BLOCK DATE in Hosthub.

  • Select the dates you want to block and confirm the action.

  • Hosthub will propagate these blocked dates to all connected channels, ensuring synchronization.

Important: If you previously blocked dates directly on channel calendars (e.g., Airbnb, Booking.com), you must re-block them in Hosthub to ensure they sync across all platforms.

Adding Offline Bookings

For reservations received outside connected channels (e.g., phone or in-person bookings):

  • Open the Hosthub calendar.

  • Add the offline booking, including details like guest name and payout if needed.

  • Hosthub will sync this booking across all connected channels, marking the dates as unavailable.

Difference Between Blocking Dates and Adding Offline Bookings

  • Block Dates: Use this feature to make specific dates unavailable without creating a reservation. Ideal for personal use, renovations, or housekeeping. These appear as "blocks" in reports.

  • Add Booking: Use this for offline reservations to create a booking that syncs across channels. These appear as "bookings" in reports and can include guest details.

FAQs and Troubleshooting

Why aren’t manual blocks from channel calendars syncing to Hosthub?

Hosthub does not import manual blocks from channel calendars. Always block dates directly in Hosthub to ensure synchronization.

How do I delete or cancel an offline (manual) booking?

Hover over the offline booking in the calendar and click "Free dates". This removes the booking and reopens the dates. If the offline booking had a registered price that will no longer be received, first edit the booking and set the price to 0 so that your reports stay accurate.

A phantom booking keeps reappearing on my calendar after being deleted

If a booking reappears after being deleted, it is being re-imported from a connected channel's calendar rather than existing only in Hosthub. Deleting it in Hosthub alone will not stop it from coming back. Provide Hosthub support with the exact date, the rental name, and the booking link/ID so they can locate the source and remove it permanently. To stop it recurring, the booking must also be cancelled/removed on the originating channel.

What happens if I don’t block dates in Hosthub?

If dates are not blocked in Hosthub, they may remain available on connected channels, leading to potential double bookings.

Why can’t I edit availability on Airbnb once it is connected to Hosthub?

Once Airbnb is connected to a channel manager, availability is controlled by Hosthub and can no longer be edited directly on the Airbnb calendar. To open or close dates, make the change in the Hosthub calendar and it will sync to Airbnb and all other connected channels. If Airbnb shows dates as blocked and won't let you unlock them there, it is because those dates are blocked in Hosthub — unblock them in the Hosthub calendar. Note that manual blocks created on Airbnb before the connection are not imported, so any dates that should remain closed must be re-blocked in Hosthub after connecting.

How should I handle calendar dates when activating a new channel connection?

Before activating a new channel, block any unavailable dates in Hosthub. Once the connection is live, Hosthub will sync the blocked dates to the new channel. By following these guidelines, you can effectively manage date availability and offline bookings in Hosthub, ensuring seamless synchronization across all connected channels.
