How to use Inbox

Hosthub's Inbox is designed to streamline and simplify the way hosts manage their guest communications and internal team coordination. With its intuitive design and comprehensive features, hosts can now enjoy a seamless, efficient, and organized messaging experience.


Multiple Messaging Platforms: Hosts often juggle various OTA apps and accounts, leading to missed or disrupted guest conversations. Our Inbox consolidates these into one place. The Unified Inbox seamlessly integrates messages from platforms like Airbnb by forwarding all guest communications directly into Hosthub. Hosts can also reply to messages from within the Hosthub app, ensuring synchronized and streamlined conversations without switching platforms.


Currently only Airbnb and Booking.com messaging is supported. When linked with Airbnb, messages including inquiries and guest communications are forwarded to Hosthub, ensuring no important messages are missed.


Booking.com limitations: Hosthub only receives messages that guests type themselves. It does not receive the "predefined" requests that guests select on Booking.com (such as parking, extra beds, etc.). These predefined requests do not appear as messages or notifications in the Inbox. To avoid missing them, check the Booking.com guest messages section and the reservation summary directly.


Other channels (e.g. Vrbo): Hosthub does not support a conversation Inbox for reservations coming from channels other than Airbnb and Booking.com. For these bookings, communication with the guest must be done through the channel itself (for example, through Vrbo). However, Hosthub's automated messages are still sent to the guest's email address as configured.


Internal Team Coordination: Coordination among host operations teams is crucial. The Inbox simplifies this by allowing team members to record and access booking-related information easily when they actually need to do so.


Guest communication

  • Accessing the Inbox: Open the Inbox from the main navigation of the Hosthub app or using the notifications icon.

  • Conversations: In the conversations pane you will be able to see all communications that are happening via your connected channels messaging systems. Guest messages for bookings, booking inquiries, channel support messages, they are all there for you to see and work with. Currently we support Airbnb and Booking.com messaging systems.

  • Navigating Conversations: Conversations are sorted by the most recent message and will have an indication for the channel/OTA from which they have been received. Unread messages are highlighted and a preview of the latest message for each conversation is shown.

  • Viewing messages: Open the messages pane for each conversation to see the full history of the communication along with images and other information. In the message pane you will also see basic details for the booking(s) that are related with the conversation.

  • Managing Conversations:
    • Mark as Read/Unread: Adjust the read status as needed.
    • Archive: Remove a conversation from the main list while keeping it accessible via search.
    • Filtering: You can filter out your conversations list by channel/OTA or status
    • Search: You can use the search box to further filter out your conversations by guest name, rental name, booking id and check-in/out dates.

  • Compose and send messages: Compose messages with text and file attachments (if supported by the channel API). After sending the message it will be sent to the guests in their channel messaging system and they will be able to view them using the channel messaging apps.

  • Contacting guests directly using phone call, SMS or Whatsapp: When you are using your mobile phone, use the three direct contact buttons for calling, sending an SMS or Whatsapp message to your guest.



  • Bookings vs Inquiries: Inbox includes conversations that are related to both bookings and inquiries.When an inquiry arrives into Inbox the information that is displayed for this conversation is slightly different than the one displayed for bookings. More specifically:- In the conversations list the conversation will be flagged as Inquiry instead of displaying the booking number.- In the messages section of an inquiry conversation we display the related data. That is, the name of the guest asking, the dates that are related with the inquiry, and the booking value that is related with this inquiry.
  • Responding to guest messages: When you receive a guest message notification by email, do not reply to that email. Instead, reply directly to the guest either from the Hosthub Inbox or through the channel.
  • Handling Notifications: The notification icon highlights the presence of unread conversations that require your attention.

Notes


Conversations that are linked with existing bookings allow adding and viewing booking notes directly inside the message pane. This way you can easily switch from the conversation view to the notes view and vice versa for a simplified and efficient workflow.


  • Accessing Notes: Open a conversation linked to a booking.
  • Viewing Existing Notes: Existing notes associated with the booking can be displayed by using the switcher.
  • Adding a New Note:Type your note in the provided space.
  • Click on the 'Add' button to attach the note to the booking.
  • Editing a Note: Click on the note you wish to edit. Make the necessary changes and save.
  • Deleting Notes: You can delete the note using the trash icon.
  • See Notes history: When you edit a note you will be able to see all changes history using the History link.
