This article will guide you through understanding and viewing the Manager Fees and Owner Payouts related to your rental properties within Hosthub. These features help manage the financial aspects of your rental business and ensure transparency between you and property owners.
This includes taking into account any deductions such as service fees from booking channels like Airbnb or Vrbo, ensuring that financial transparency is maintained throughout all transactions.
Viewing Manager Fees and Owner Payouts in Rental Details
You can view the Manager Fee and Owner Payout information directly in the rental details page for each of your properties.
Selecting Predefined Calculation Methods for Manager fee
Predefined Calculations: You can choose from a set of predefined calculation methods for Manager Fees. These are standard formulas designed to cover common business models. There are four possible formulas:
Percentage on: booking value
This formula calculates the manager fee as a percentage of the booking value. The booking value is the total amount that the guest pays for the booking, including the nightly rate, but excluding cleaning fee, and any other fees or taxes.
For example, if the booking value is $1,000 and the manager fee percentage is 10%, then the manager fee will be $100.
Percentage on: booking value + cleaning fee
This formula calculates the manager fee as a percentage of the booking value plus the cleaning fee. The cleaning fee is the amount that the guest pays to the property manager to cover the cost of cleaning the rental after the guest's stay.
For example, if the booking value is $1,000, the cleaning fee is $200, and the manager fee percentage is 10%, then the manager fee will be $120.
Percentage on: booking value + cleaning fee + other fees + taxes
This formula calculates the manager fee as a percentage of the booking value plus the cleaning fee, other fees, and taxes. Other fees may include pet fees, damage deposits, or late checkout fees. Taxes may include local occupancy taxes or state sales taxes.
For example, if the booking value is $1,000, the cleaning fee is $200, other fees total $100, and taxes total $50, and the manager fee percentage is 10%, then the manager fee will be $135.
Percentage on: total payout
This formula calculates the manager fee as a percentage of the total payout to the property owner. The total payout is the amount of money that the property owner receives after the channels have deducted the service fees they charge.
For example, if the total payout to the property owner is $1,000 and the manager fee percentage is 10%, then the manager fee will be $100.
Additional Example for Airbnb-Specific Scenario
For Airbnb bookings, the manager’s fee is applied to the final payout after deducting channel-related fees. For example, if the booking value is $64 and Airbnb’s service fee amounts to $9.60 (15%), the manager’s fee would be calculated on the remaining $54.40, assuming a preset percentage.
Selecting Custom Calculation Methods for Manager fee and Owner payout
If your business model requires a unique Manager fee calculation or an Owner payout calculation, you can request a custom formula.
Custom formulas are only configured by the Hosthub support team. Contact support with your specific requirements.
Viewing Manager Fees and Owner Payouts in Bookings
In each booking page, you will now see two new fields: "Manager Fee" and "Owner Payout."
Each field will display a description that includes the calculation formula used (if defined). If no formula has been configured, it will indicate that it is "Not defined." The description also shows how the fee/payout is calculated based on the booking cost values.
Viewing Manager Fees and Owner Payouts in Reports
To access financial reporting:
Go to the Reports page on your dashboard
Use the available filters to narrow down results by rental property or specific date ranges
Totals for Selected Period: You can view the total Manager Fees and Owner Payouts for a specific period in the financial reports.
Historic Manager Fee and Owner Payout data will also be available in the "Historic and trend financial data" section of the reports.
Recalculating Manager Fee and Owner Payout for Bookings
Automatic Recalculation: Whenever a new Manager Fee and/or Owner Payout formula is saved, the system will automatically recalculate the respective fields for bookings.
Future Bookings: All bookings with a checkout date in the future will be recalculated using the new formula.
Past Bookings: Bookings with a checkout date before the calculation update date will remain as is.
To manually recalculate missing fees for a booking, open the reservation, scroll to the bottom of the page, and click the Recalculate fee button.
Monthly Owner Payout Reports
To save you time at the end of the month and provide quick visibility into your financials, Hosthub can send you an automated Monthly Owner Payout Report directly to your inbox.
Instead of manually calculating earnings or logging into the platform to check numbers, this email provides a clean, automated summary of what is owed to your property owners based on the formulas you have already set up.
How it works
Delivery Schedule: When enabled, the email report is generated and sent on the 1st of every month.
Checkout-Based Calculation: The report strictly aligns with completed stays. It includes all bookings that had a checkout date within the previous month. (For example: A booking from January 28th to February 2nd will be included in the February report, which you will receive on March 1st).
Data Included: The email features a simple summary table displaying the Rental Name, Total Bookings, and Total Owner Payout.
Excluded Data: To avoid any confusion, the report will only include rentals that have an "Owner Payout Formula" actively defined. If a rental lacks a payout formula, or if there were no checkouts in the previous month, it will simply be excluded from the table. If there is no data to report at all, no email will be sent.
How to enable the monthly report: this feature is turned off by default. To start receiving these emails:
Go to your Hosthub account and navigate to Settings.
Go to Notifications section.
Locate the option for the Monthly owner payout report and toggle it to ON.
Note: This report is strictly an informational tool based on your calculated formulas. Hosthub does not process actual bank transfers or other payments to owners. Additionally, cancelled bookings are not included in this report unless your specific payout formula accounts for cancellation fees.
