Subscription Billing information

As an individual or business host, you can view your Hosthub subscription billing information in the billing page under the Billing details section. This information will be used in your invoices, to determine the VAT status of your account, and for subscription and service charges. For navigation, simply click on the profile (human) icon at the top right corner of your screen, then select Billing from the dropdown menu to access the billing page.


Additionally, you can also manage your payment methods in this section to ensure seamless subscription processes.


Updating Billing Information


To ensure accurate billing, you may need to update or edit your billing details. Follow these steps:


  • Access the Billing Page:Click on the profile (human) icon at the top right corner of your screen.
  • From the dropdown menu, select Billing.
  • Edit Billing Information:On the Billing page, locate the billing information fields.
  • Update the fields as necessary.
  • If you encounter issues (e.g., tax or VAT number validation prevents saving), double-check the number using a relevant official registry. For instance, EU users can verify VAT numbers using the EU VIES system.
  • Get Additional Support:If the validation still fails or if you encounter complex field issues, reach out to Hosthub’s support team for assistance. Note that manual input may be required in certain cases.


Note that only the admin of the Hosthub account has the necessary permissions to make changes to the payment information.

If you or your business is located in an EU country and operates under the VIES system, then you can validate and autofill your billing details (business name, address) using your VAT number. Just enter the VAT number in the respective field and press the validation button

How Can I Update the Payment Method on My Hosthub Account?


Updating your payment method on Hosthub is an important process for managing your subscriptions and ensuring seamless billing. Follow this guide to learn who can update payment details and how to perform the update.


Overview of User Permissions


Only the admin of a Hosthub account has the privilege to update payment information. If you are an invited team member and not the admin, you will not be able to make changes to the payment method. Payment updates and charges are strictly managed through the admin's account.


Step-by-Step Guide to Update Payment Method


To update your payment details as an admin, follow the steps below:


  • Access Account SettingsClick on the profile icon (usually found at the top-right corner of the dashboard) to open the drop-down menu.
  • Select Billing.
  • Navigate to Payment MethodsWithin the Billing section, find and select Payment Methods.
  • Edit Payment DetailsChoose the option to edit your current payment method.
  • Enter the updated card or bank account details.
  • Save ChangesAfter entering the new details, confirm and save the changes to update your payment method.


Note: Switching to an Annual Plan


While updating your payment details, admins may also have the option to switch from a monthly to an annual subscription plan if desired. This can be helpful for cost management.


Troubleshooting Payment Issues


  • If you are unable to access the Payment Methods section, ensure that you are logged in as the admin user.
  • Verify the accuracy of the entered payment details before saving changes. Incorrect details may result in payment processing errors.- If your payment is declining when retrying unpaid invoices, ensure your card information is current and correct, confirm sufficient funds, and retry the payment after updating details.- Ensure your card is not expired and has sufficient funds.
  • Double-check the billing address associated with your card.
  • Contact your bank if the issue persists, as they may have additional restrictions in place.


"Your card was declined"


A "your card was declined" message means the payment is being rejected by your card issuer (bank), not that you entered something incorrectly. Debit and credit cards (Visa, Mastercard, Amex) and prepaid cards are all supported. To resolve it:


  • Make sure you are logged in as the account admin (only admins can add or change payment methods).
  • Re-enter the card details carefully in Billing → Payment Methods, avoiding extra spaces.
  • Confirm the card is not expired, has sufficient funds, and the billing address matches your bank's records.
  • Ask your bank to allow online/internet charges for that card, as some banks block them by default.
  • If you cannot use a card, PayPal is the only alternative payment method accepted for subscriptions.


Reviewing Past Invoices


For transparency and record-keeping, you can access past invoices and review any charges on your account by following these steps:


  • Click on the profile (human) icon at the top right corner, then select Billing.
  • Scroll down to the Past Invoices section.
  • Click on any listed invoice to view its details and full breakdown.
  • If further clarification is required, Hosthub offers customer support to resolve any specific queries related to these invoices.


Confirming Current and Upcoming Charges


To confirm what is currently being charged, including upcoming invoices and any adjustments, go to the Billing page. The amount shown per rental on the billing page may be higher than the plan's listed price because the final charge includes the plan price plus applicable taxes. Taxes can vary by location and local regulations, so a change in the total (without a change in the plan price) usually reflects a change in the tax applied to your subscription, which is affected by your registration country.


Verifying Payment Status


To check whether your subscription payment succeeded or failed:


  • Go to your Hosthub account and access the Subscription section.
  • Review your subscription details and the list of invoices.
  • Identify which payments were completed and whether any invoice remains unpaid.


Payment Made but Invoice Still Shows Unpaid


If you have paid (or your bank shows a charge) but Hosthub still displays an unpaid invoice or an outstanding balance:


  • Open Billing → Past Invoices and check the most recent invoice to confirm whether it is marked as paid or still unpaid.
  • If the invoice is still marked unpaid, the payment has not yet been recognised as successful in Hosthub's billing system, even if your bank shows a charge.
  • If everything appears correct on your side but the balance persists, contact the Hosthub billing team so they can verify the payment and correct the status. These cases are reviewed by the billing/accounting team during business hours (CET, Monday to Friday).


Updating Previously Issued Invoices


If you’ve updated your billing details, you may want to update previous invoices to reflect the changes. The process works as follows:


  • Billing Updates Reflected:After updating your billing details, past invoices can be amended to include the new information.
  • Scope of Changes:Amendments can be applied to invoices issued from a specific month onward (e.g., invoices from September).
  • Backend Processing:Updating already-issued invoices may require assistance from the Hosthub billing or development team.
  • Once processed, all future invoices will automatically include the updated billing details.4. To retrieve or print invoices, click View and Print from the selected invoice options.
